Consignment stock is not ordinary inventory. The item may sit in your shop, but the consignor still owns it; a sale can create commission, a payable, a holdback and a later reversal if the customer returns it. Consignment Stock & Settlement Desk connects those events in one visible ledger.

Create a separate agreement for each consignor or group. Choose the commission base, percentage, fixed or tiered model, who carries an authorised discount, when a sale becomes payable, what is held back and when that holdback is released. Intake each item and retain its custody status from received through sold, returned to owner, lost or damaged.

When a sale is posted, the tool calculates the consignor earning from the entered agreement. A return does not disappear inside a changed total: it creates a linked reversal. Settlement statements start with the opening payable, list earnings and reversals, show new and released holdbacks, subtract confirmed payouts and arrive at the closing balance. Duplicate payout identifiers are stopped before they change the ledger twice.

Worked examples: an artwork sold for 100 at 10% commission gives the consignor 90 and the store 10. For a list-price 100 item sold for 90 after a discount of 10, the contract variant decides. Commission on the actual sale price: 10% of 90 = 9 for the store and 81 for the consignor — the discount is not deducted again. Discount shared from the original agreed shares (50/50): original commission 10, store 10 − 5 = 5, consignor 100 − 10 − 5 = 85; a card fee of 2 paid by the store leaves it 3 (85 + 3 + 2 = 90). In the boutique demo: opening payable 20 + earned 89 − new holdback 10 − payout 50 = closing payable 49.

This is a control and settlement tool, not a point-of-sale system or payment service. It does not process a card, send money or infer tax rules. It gives a consignment shop a clear statement, inventory reconciliation and exception queue without requiring a large multi-location POS subscription.

What you get

  • Consignor-specific agreements with versions: commission base, percent, fixed or tiered commission, discount and fee sharing.
  • Marginal or retroactive tiers — retroactive only when you choose it.
  • Item custody from received to sold, returned to owner, lost or damaged, with an inventory reconciliation per item.
  • Sale, discount and return calculations; returns as linked reversals, never a silently changed total.
  • Holdback tracking with a separate release line, released once.
  • Payout idempotency: one payout ID changes the ledger once; repeated bank references are flagged.
  • Consignor statement as a PDF file (made in your browser) and as a print view; inventory, sale-line, ledger, payout-preview and exception registers as CSV.
  • Three fictional demos: gallery, boutique and an exception set.

How it works

  1. Set the agreement. Enter each consignor and an agreement: the contract variant for discounts, commission model, fee share, tax handling, return window, holdback and loss rule — previewed as a plain formula.
  2. Take items in and record sales. Intake serialized or quantity items, then enter or import sale lines; returns become linked reversals and lost items a credit under the loss rule.
  3. Settle the period. Lock the period, review included lines and each statement from opening to closing payable, resolve blocking exceptions and post an immutable statement.
  4. Record payouts and export. Record payments you made as evidence, download the consignor statement as a PDF file (or print it) and export inventory, sale lines, ledger and the payout preview as CSV.

Limits

Entered records only; not a point-of-sale system, payment service or marketplace; it does not send money, connect to a bank or decide tax questions.

Questions

Is this a POS?

No. It does not take payments or run a till. You enter or import sale lines from your own system, and the tool calculates commissions, reversals, holdbacks and what you owe each consignor.

Does it send payouts?

No. You pay consignors through your own bank. A payout record in the tool is evidence of that payment; the payout file preview is not a bank upload file.

Can terms differ by consignor?

Yes. Each consignor or group has its own versioned agreement: commission base and model, discount and fee shares, tax handling, return window, holdback and loss rule.

Are returns corrected?

Yes, by reversal. A return creates a linked reversal in proportion to the refund, once. If the sale was already paid out, the negative balance is carried into later earnings — never debited from an outside account.

How is a discount split?

As the agreement says — one of two variants, never both. Commission on the actual sale price: the commission is taken from what the customer paid and the discount is not deducted again (100 − 10 = 90; 10% → store 9, consignor 81). Discount shared from the original agreed shares: the commission stays on the original price and the discount is split by the agreed shares (store 10 − 5 = 5, consignor 100 − 10 − 5 = 85). A payment fee the store pays reduces only the store's part.

What happens to a lost item?

It is handled by the agreement's loss rule as a separate credit (for example a share of the list price) — never as a fake sale.

Does this use AI?

No. Calculations follow the rules and assumptions shown in the tool. The help panel explains the inputs, formulas and limitations.

What is included in a one-time purchase?

The full online tool, the self-contained offline package, a guide, templates and your own reports and backups, under the licence shown at checkout.

Is it included in PRO?

Active PRO Week, Month and Year subscribers can use the full online tool. The offline program for this new tool is included only with a one-time purchase. Your own reports and data backups are not offline-program downloads.

What happens if PRO ends?

You can still view and back up your existing local records. Creating or editing calculations requires renewed PRO or a one-time purchase. A separate one-time purchase remains valid independently of PRO.

Where are my records stored?

The calculation workspace stores records in your browser on this device. Save regular backups. Clearing browser storage can remove local records. Account and purchase records are handled separately by the website.

Can I use another language or currency?

The interface supports English, Spanish, German, French, Portuguese, Italian, Dutch and Russian. Each agreement keeps its own currency; nothing is converted because the language changes.

Does the demo accept my data?

No. The demo uses fictional examples and lets you inspect the workflow and sample reports. Your own inputs and imports are available in the full version.

Does this replace a professional adviser?

No. It explains calculations under your inputs. Use appropriate professional advice for legal, tax, accounting and other decisions.

Business license for use in your own business. No resale or redistribution. Opens in your browser right after payment, on phone and computer. Your figures stay on your device. No physical item.
