A stock difference is not automatically a loss. Stocktake & Shrinkage Control separates counting errors, unit mistakes and missing movements from the differences that remain after investigation.

Start from a stock snapshot, count without seeing the expected quantity and record movements up to each count time. Recount flagged items, document the cause and approve the final adjustment.

See shortages and surpluses separately, value their impact and export a clear adjustment file without replacing your existing inventory system.

Each count is compared with the quantity expected at its own time: the snapshot plus every posted receipt, sale, return and transfer after the snapshot minute and up to the count. A movement booked exactly at the snapshot minute is already inside the snapshot, so it is never counted twice. Full packs are converted with the pack size in force when you counted, and a recount is kept as a separate attempt — never averaged.

When a movement turns up late, the expected quantity is recalculated and an earlier approval is reset. After posting, the late entry is shown as falling into a closed count window and is corrected through a controlled reopening: the old adjustment is reversed and a new one is posted, so one line never carries two active adjustments.

What you get

  • Blind counts and recount history.
  • Stock movements during the count.
  • Pack-to-unit conversions.
  • Quantity and value variances.
  • Investigation and approved adjustments.
  • Count sheets, reports and CSV exports.

How it works

  1. Set up items, places and the snapshot. Enter or import your items with units, pack sizes, unit costs and tolerances, your storage places, and the stock snapshot of a count session with its exact moment.
  2. Count and record movements. Count blind in full packs and loose units; record receipts, sales, returns and transfers that happen while you count, or import them as drafts and post them.
  3. Check variances and investigate. Compare each count with the expected quantity at its own time, recount flagged lines, add missing movements, decide timing for entries without a time and record the cause.
  4. Approve and export the adjustments. Approve the final counts, post the adjustments, print the stocktake statement and export the adjustment file for your own inventory system.

Limits

Uses the stock snapshot, movements and costs you provide. It does not automatically synchronise with an ERP or prove the cause of a shortage.

Questions

Does it use AI?

No. Every expected quantity, difference, value and total is calculated with fixed formulas that are shown in the tool and in the guide. No records are sent to an AI service.

Do I need a subscription?

No subscription is required for the one-time purchase. Access through TidyCents PRO follows the current PRO terms.

What does PRO include for this tool?

The full online version for as long as your PRO is active.

Is the offline program included in PRO?

No. The downloadable offline program is part of the one-time purchase and is bought separately. PRO members get the guide and the import templates.

Where is my data stored?

Your working records are stored in the browser on your device. Nothing is sent to our server. Export complete backups regularly, especially before clearing browser data or changing devices.

Can I move a project to another device?

Yes. Export a complete backup and restore it in the same product on the other device. The restore checks the file and replaces the workspace as a whole.

Can several people count at the same time?

This version is designed for one local workspace. It does not provide simultaneous shared editing. Several counters can write on printed blind count sheets, or their counts can be imported from a CSV file and confirmed.

What happens when PRO ends?

Records already on your device are not deleted. They open read-only with backup and CSV export; editing and new calculations come back when you renew PRO or buy the tool.

Which units and currencies are supported?

Any base unit you name (pieces, bottles, kilograms, metres…), with whole-unit or decimal precision per item, pack units with their own size, and any currency set for the workspace.

What does it not do?

It does not connect to an ERP, a till or a bank, does not write adjustments into another system, does not prove why stock is missing and gives no tax or accounting advice. It works with the snapshot, movements and costs you enter.

How are movements during the count handled?

Each count has its own time. The expected quantity is the snapshot plus every posted movement after the snapshot minute and up to that count time. A movement at the snapshot minute is already in the snapshot. A movement without a time on the snapshot or count day is shown as uncertain and cannot be approved automatically until you decide where it belongs.

Why is the expected quantity hidden while counting?

To keep the count blind. Expected quantities, differences and recount flags appear only after you finish counting; recounts are entered the same blind way.

What happens if the shortage and the surplus cancel out?

They are never hidden behind a zero net. Shortages, surpluses, the net result and the absolute difference are shown side by side — a $100 shortage and a $100 surplus give a net of $0.00 and an absolute difference of $200.00.

What if a delivery note turns up after the adjustment was posted?

The tool shows that the movement falls into the closed count window. You reopen the session with a reason, reverse the old adjustment, approve again and post the new one. Posted entries are never edited.
