Consumption is measured only between two confirmed full fills: the distance between them and every litre or gallon filled after the first, partial fills included. Each vehicle keeps its own units — km or miles, litres, US gallons or Imperial gallons — and every conversion is exact. Fixed vehicle costs are spread by one method you choose per period (per distance, per working hour or per trip), and what trips do not cover stays visible instead of being hidden.

How it works
- Set up vehicles and cost rules. Add each vehicle with its units, expected consumption and maintenance rate, then a fixed-cost period with one allocation method (Vehicles, Costs).
- Record fills and trips. Enter or import fuel fills and confirm them against the odometer; enter planned and actual trips with loaded and empty distance, driver time and road costs (Fuel fills, Trips).
- Check calculations and exceptions. See real consumption between full fills, open intervals, odometer conflicts, incomplete trips and every cost line behind a result (Overview, Fuel fills).
- Price, close and export. Read the minimum price at your target margin, close trips with their stored rates, compare plan and actual, then print or export CSV (Price & profit, Reports).
Limits
Manual records and file imports. No GPS hardware, automatic route optimisation, tax filing or guaranteed detection of fuel theft. It does not calculate fuel tax (such as IFTA) and is decision support, not tax or accounting advice.
Questions
Does it use AI?
No. Consumption, costs, quote floors and variances are calculated with fixed formulas shown in the tool and in the guide. No records are sent to an AI service.
Do I need a subscription?
No subscription is required for the one-time purchase. Access through TidyCents PRO follows the current PRO terms.
What does PRO include for this tool?
The full online version for as long as your PRO is active. The full version on the site is included in your PRO; the offline version comes with a one-time purchase of the tool.
Is the offline file included in PRO?
No. The downloadable offline program is part of the one-time purchase. PRO members get the online version, the guide and the import templates.
Where is my data stored?
In your browser on your own device (local workspace storage). Nothing is sent to our servers. Export a backup regularly.
How do I move my workspace to another device?
Export a backup in Settings → Data & backups and restore it on the other device. The restore checks the file and replaces the workspace there as a whole.
Can several people work at the same time?
No. There is no simultaneous shared editing. One person works in one workspace; others can receive backups or CSV and printed reports.
What happens when PRO ends?
Your data is not deleted. Existing records stay visible and you can still export a backup and CSV; new calculations and changes need PRO again or a one-time purchase. A tool you bought separately keeps its purchase rights.
Which units and currencies are supported?
Kilometres or miles; litres, US gallons or Imperial gallons (never an unspecified gallon); consumption in L/100 km, km/L, US mpg or Imperial mpg; any currency, one per workspace.
What does the program not do?
It does not connect to GPS or telematics, optimise routes, file fuel tax returns, read receipts automatically or prove fuel theft. It works with the records you enter or import.
How is a full tank different from a fuel estimate?
Measured consumption comes only from the distance between two confirmed full fills and the fuel filled between them. A trip without its own fuel figure uses an average consumption, and that figure is always labelled an estimate; actual fuel you enter for a trip replaces it.
