A maintenance reminder is not enough if the required part or shutdown window is missing. Maintenance & Spare Parts Control connects service intervals with equipment readings, parts availability and the work calendar.
Plan work by date, operating hours or cycles. Check shortages before scheduling, reserve the parts and record actual work, consumption and downtime.
See direct maintenance spending separately from the contribution lost during a shutdown, with the calculation behind each figure.
Each plan shows its calendar, hour and cycle conditions side by side and marks the one reached first; forecast dates come from the use you expect on each working day and are always labelled as forecasts. Readings never go backwards, and a replaced meter continues the total. Parts reserved for one job are never promised to another, purchases are rounded up to whole packs, and a work order can be marked ready only when its parts, people, time window and equipment all check out.
What you get
- Calendar, operating-hour and cycle intervals.
- Equipment readings and service history.
- Parts availability and reservations.
- Work readiness and scheduling conflicts.
- Actual maintenance and downtime costs.
- Work sheets, calendars and exports.
How it works
- Set up equipment, plans and parts. Add your machines with their meter readings and expected use, the maintenance plans with their intervals, the spare parts with stock and pack sizes, your technicians and work calendars.
- Record readings and create work orders. Enter meter readings as they come, create work orders from due plans or for repairs, and import equipment, parts or readings from CSV or XLSX.
- Check readiness and clashes. See part shortages, reserve parts, assign people with the right skills, and resolve clashes in the calendar or with the proposed schedule.
- Complete the work and report. Post the actual date, readings, labour, parts used and downtime in one step, then print the work sheet and the cost report or export CSV.
Limits
Uses the maintenance rules and readings you enter. It does not monitor equipment automatically or replace manufacturer instructions.
Questions
Does it use AI?
No. Every due date, shortage, purchase quantity, readiness check, proposed time and cost is calculated with fixed rules shown in the tool and in the guide. No records are sent to an AI service.
Do I need a subscription?
No subscription is required for the one-time purchase. Access through TidyCents PRO follows the current PRO terms.
What does PRO include for this tool?
The full online version for as long as your PRO is active.
Is the offline program included in PRO?
No. The downloadable offline program is part of the one-time purchase and is bought separately.
Where is my data stored?
Your working records are stored in the browser on your device. Nothing is sent to our server. Export complete backups regularly, especially before clearing browser data or changing devices.
Can I move a workspace to another device?
Yes. Export a complete backup and restore it in the same product on the other device.
Can several people work in it at the same time?
This version is designed for one local workspace. It does not provide simultaneous shared editing.
What happens when PRO ends?
Records already on your device are not deleted. They open read-only with backup and CSV export; editing and new calculations come back when you renew PRO or buy the tool.
Which units and currencies are supported?
Any currency, with its own number of decimals. Operating hours and cycles are counted exactly; part quantities can use any unit you name (pieces, litres, metres) with up to six decimals, and unit costs up to eight.
What does it not do?
It does not read meters or sensors, monitor equipment, order parts from suppliers, send messages or decide what maintenance a machine legally or technically needs. It is decision support based on the rules you enter, not engineering, legal or tax advice.
Where do the due dates and usage come from?
From what you enter: the interval of each plan (days, months, hours or cycles), the date and reading of the last service, the confirmed meter readings and the use you expect per working day in your work calendar. Calendar dates are calculated exactly; dates for hour and cycle limits are forecasts, built day by day from your expected use and labelled as forecasts. When a forecast date passes without a newer reading, the tool asks you to update the reading.
Is the proposed schedule proven optimal?
It is a deterministic, explained proposal: fixed and started work keeps its time, the rest is placed overdue first, then by nearest due date, at the earliest time when the equipment is free, every position can be filled and the parts are available or confirmed. It is labelled as a feasible schedule that is not proven optimal, and nothing changes until you apply a proposed time.
Why are downtime cost and lost contribution shown separately?
Downtime cash cost is money you actually spend while a machine is stopped. Lost contribution is an estimate of profit not earned during that time, not a payment. The impact estimate adds the two but keeps both visible.
