One location can be short while another holds more stock than it can use. Buying again may be unnecessary, but moving everything that looks “spare” can create the next shortage at the source. Multi-Location Stock Transfer Optimizer calculates from available stock after reservations, damage and safety stock, then checks demand dates, pack sizes, route lead time, capacity and expiry.
The outcome in one sentence: you see which whole packs to move on which route, by when they arrive, what they cost and how many units stay short — calculated from your own records, with every step shown.
The baseline shows what happens with no transfer. The plan then selects integer packs and routes without moving more than the source can release. A lot is not used when it will expire before arrival plus the required shelf-life. Proposed stock is not treated as moved: inventory changes only when a user approves, dispatches and receives the transfer.
When shortage and expiry costs are supplied, the tool can compare the monetary outcome with transport and handling cost. When those values are unknown, it does not manufacture “savings”; it reports units short, units at expiry risk and cash transfer cost separately. The result also states whether the optimiser proved that no better plan exists or merely found a feasible plan before its time limit.
Worked example from the demo: Store A has 40 units on hand, 5 reserved, 0 damaged and a safety stock of 15, so 20 units can be released. Store B needs 10 units. The item moves in packs of 5, so the plan sends 2 packs. The route has a fixed cost of 50 and 2 per unit: 50 + 2 × 10 = 70. If the safety stock at A rises to 35, nothing can be released, the earlier proposal is flagged as infeasible and the new plan moves nothing — and says why.
What it does not do: it does not order from suppliers, book carriers, connect to a bank or point-of-sale system, or route stock through a third location. It does not give legal, tax or insurance advice. Lead times, costs, capacities and shelf-life rules are the values you enter.
Open the demo first: three fictional scenarios (three shops with a seasonal imbalance, expiry-sensitive dairy stock, and pack, capacity and date conflicts) show every screen with real results, “How calculated” panels and sample reports. A one-time purchase gives you the full online tool and the offline program package; an active PRO subscription gives you the full online tool while it is active, without the offline package. Both let you download your own reports and backups.
What you get
- Locations with receiving days, receiving limit, storage limit and receiving handling cost.
- Items with pack size, split-pack option, required shelf-life at arrival, priority weight and optional shortage and expiry costs.
- Stock by location, SKU and lot: on hand, reserved, damaged, safety stock, expiry date — and the transferable amount, never just on hand.
- Demand by period with lower, base and high scenarios; confirmed inbound with arrival dates.
- Direct routes with dispatch weekdays, lead time, fixed and per-unit cost, capacity in units, kg or m³ and minimum shipment.
- A transfer plan in whole packs with first-expiry-first lots, an honest status, lower bound and gap, rejected constraints and trade-off alternatives.
- Baseline, open proposals and the saved plan compared under three demand scenarios by the same simulation.
- Approval, dispatch and receipt as separate posted events, with differences posted as adjustments and a network check.
- Transfer orders by route, pick list, receipt sheet, exception report, scenario comparison, CSV exports, JSON and complete backups.
How it works
- Enter locations, items and stock. Add your shops or stores, the items with pack size and shelf-life, and stock by lot with reservations, damage and safety stock. CSV import is available for each list.
- Enter demand and routes. Add demand by period and scenario, confirmed inbound, and the direct routes with dispatch days, lead time, capacity and cost.
- Run the plan. Read the baseline, choose the objective and the maximum runtime, and run. The search runs in the background with a Cancel button and reports whether the plan is proven optimal within the model or only feasible.
- Approve, dispatch and receive. Save the plan as proposals, approve the ones you want, post the dispatch and the receipt with real quantities, and print orders, pick lists and receipt sheets.
Limits
It reallocates stock you already own between your own locations on direct routes, one dispatch per route per plan. It does not order from suppliers, book transport, connect to point-of-sale or bank systems, or give legal, tax or insurance advice. Money savings are shown only when you enter shortage and expiry costs.
Questions
Does it order from suppliers or book a carrier?
No. It reallocates stock you already own between your locations and prints transfer orders, pick lists and receipt sheets. Ordering and booking stay with you.
Is every plan optimal?
No, and the status says so. A plan is called optimal within the defined model only when the search checked every pack combination. Larger models get a feasible plan with a lower bound and a gap instead.
Why does it not show savings?
Savings need a money value for a unit short and a unit expired. If you enter those costs, the benefit is avoided shortage plus avoided expiry minus transfer cost. Without them, units short, units at expiry risk and transfer cost are shown separately.
Does a proposal change my stock?
No. Stock changes only when a dispatch or receipt is posted. Approving freezes the proposal; dispatching lowers the source and puts units in transit; receiving adds them at the destination, and any difference is posted as an adjustment.
Does this use AI?
No. Every number comes from fixed formulas and the records you enter. Each result has a “How calculated” panel with the formula and the inputs.
