A low development quote can leave required integrations, support, renewals or migration costs outside the headline price. Website Proposal & Ownership Cost Lab keeps those requirements visible before anyone decides that one proposal is cheaper. It is built for business owners and procurement teams in businesses who receive two, three or more website proposals that do not cover the same things.

Build a fair comparison. List the required components — build, content, hosting, security, integrations, support and ownership — and mark what each vendor includes, excludes or leaves unclear. Enter supplemental costs where you know them. An unknown mandatory requirement keeps the comparison incomplete; it is never treated as a zero-cost feature, and an incomplete proposal is never ranked as the cheapest.

Follow the money by month. Separate one-time, monthly, annual, per-order and revenue-based charges. An annual renewal appears in full in the month it falls due instead of being spread over twelve months. Cash paid and economic cost stay distinct where you explicitly mark a tax as recoverable, and currency conversion uses the rates you enter.

Worked example from the fictional demo: over 24 months, Proposal A charges $1,000 to build, $50 a month for hosting and $120 for the domain at the start of each year — $2,440 in total, with $1,170 due in the first month. Proposal B charges $1,500 and $30 a month — $2,220, so B is $220 lower on equal scope. When B turns out to exclude the required till integration, its $2,220 is only the known part. Adding the integration at $300 brings B to $2,520, and A becomes the lower proposal by $80.

Test the sales requirement. Where fees are constant and the assumptions are complete, the tool calculates how many additional orders would cover the incremental fixed cost after website transaction fees: $1,000 of fixed cost and a $20 contribution before a $2 fee per order need at least 56 extra orders. The tool does not predict that those orders will arrive.

For a medium-sized business, compare larger requirement lists across several sites or departments — the demo has 40 requirements for an online shop, four stores, a trade portal and head office — with licences for 100 users and 50,000 orders a month as visible usage inputs rather than a hidden headline amount. The report records the horizon, rates and inclusions behind the comparison.

No AI guesses: every result shows its working, and nothing is read from uploaded PDFs. Try the four fictional demos, then buy once for the full online tool and the offline file, or open it with an active PRO subscription.

What you get

  • Scope matrix: the same requirements against every vendor proposal — included, excluded, unknown or priced as a supplement — with mandatory coverage gaps highlighted.
  • Same-scope comparison: only proposals that cover every mandatory requirement are ranked; incomplete ones show their known part as a lower bound with the list of what is missing.
  • Cost lines in five billing patterns: one-time, monthly, annual (billed in full when due), per order and a share of revenue — with annual escalation by whole years and a fixed discount per charge.
  • Cash paid versus economic cost, with exclusive or inclusive tax and a recoverable flag you set; each proposal in its own currency, converted with the exchange rate and date you enter.
  • Monthly timeline: first-month cash, the months annual bills fall due, cumulative ownership cost and charts of the selected pair.
  • Break-even as a condition: extra orders needed to cover incremental fixed cost after per-order and revenue fees — or a monthly scenario when fees change during the period.
  • Sites and departments, search and filters, CSV/XLSX import of requirements, proposals, scope cells and cost lines with a preview of every error and duplicate.
  • Comparison report to print or save as PDF with every line total; CSV exports of monthly cash, cost lines, requirements, the scope matrix and the comparison; full local backups in 8 languages.

How it works

  1. List the requirements. Components by category and site, with the mandatory ones marked — the scope every proposal is measured against.
  2. Add the proposals. Vendor, currency and your exchange rate, dates, and the monthly orders and revenue behind usage-based fees.
  3. Mark scope and enter costs. Set each cell of the matrix and enter every charge as a cost line; unknown prices stay unknown.
  4. Compare on the same scope. See the ranking of complete proposals, the monthly cash, the break-even condition, and print the report.

Limits

The tool does not price missing work from market averages, interpret contract enforceability or termination, determine tax recovery rights or forecast traffic. Exchange rates are entered by you; none are fetched. It is a specialised proposal comparison, not a replacement for your full business financial model — use Business Decision X-Ray for the wider decision.

Questions

Does a blank quote line mean free?

No. A line without a price stays unknown and is not counted. The proposal then shows its known part as a lower bound and is not ranked until the price is entered.

Are annual bills spread across cash months?

No. An annual charge appears in full in the month it falls due — month 1 and every 12 months after it. An average per month is shown separately and labelled as an average, not a payment.

Does it analyse uploaded proposals with AI?

No. You enter or import structured lines. Calculations follow the formulas shown in the tool — no AI guesses.

Can it prove extra sales?

No. The break-even figure is a condition — how many extra orders would cover the incremental cost under your assumptions — not a forecast that they will arrive.

What happens when a vendor excludes a required component?

The proposal shows a scope gap and stays out of the ranking. When you have a price for the missing work, enter it as a supplemental cost line and mark the cell “priced as a supplement”.

Does it decide whether I can recover VAT or sales tax?

No. You tick whether your business recovers the tax on a line. The tool then keeps cash paid and economic cost apart; it does not determine tax rights.

Can proposals be in different currencies?

Yes. Each proposal has its own currency and the exchange rate, source and date you enter. Without a rate its total stays open rather than being guessed.

What is included in a one-time purchase?

The full online tool, the self-contained offline package, a guide, templates and your own reports and backups, under the licence shown at checkout.

Is it included in PRO?

Active PRO Week, Month and Year subscribers can use the full online tool. The offline program for this new tool is included only with a one-time purchase. Your own reports and data backups are not offline-program downloads.

What happens if PRO ends?

You can still view and back up your existing local records. Creating or editing calculations requires renewed PRO or a one-time purchase. A separate one-time purchase remains valid independently of PRO.

Where are my records stored?

The workspace stores records in your browser on this device. Save regular backups; clearing browser storage can remove local records. Account and purchase records are handled separately by the website.

Does the demo accept my data?

No. The demo uses fictional examples and lets you inspect the workflow and sample reports. Your own inputs and imports are available in the full version.

Does this replace a professional adviser?

No. It explains calculations under your inputs. Use appropriate professional advice for legal, tax and contract decisions.

Business license for use in your own business. No resale or redistribution. Opens in your browser right after payment, on phone and computer. Your figures stay on your device. No physical item.
