Beans lose their peak weeks after roast and milk spoils in days, so on the Freshness sheet you enter a received/roast date and a shelf life, and the kit gives you a best-by date, the days left and a clear OK / USE SOON / EXPIRED flag against your stock date — so beans get pulled at their peak and milk never sours on the shelf. Every ingredient also carries its origin/grade and roast level (Arabica blend, medium-dark, barista oat), so what you serve is documented, not guessed. No pricing template on the market does this.

On Ingredients you list what you buy — beans, whole and oat milk, syrups, chocolate, cups, lids, napkins — with pack price, pack size and the usable % after spillage, and the cost of one gram, millilitre or unit is worked out for you. Questions

How does the freshness tracker work?

On the Freshness sheet you enter the received or roast date and a shelf life in days for each perishable — beans, milk, syrups. The kit works out the best-by date, the days left against your stock as-of date, and flags each one OK, USE SOON or EXPIRED. It is the one thing pricing templates never include, and it stops you brewing stale beans or serving milk that has turned.

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and choose File → Save as Google Sheets. Every formula (SUMIFS, VLOOKUP, COUNTIF, IFERROR) and the chart are Sheets-compatible. A short PDF walks you through it.

Which currency does it use?

Any. You set a currency symbol on Start Here; it is decorative only — the arithmetic uses plain numbers, so the file works in any country with no tax rules baked in.

Do I have to build every drink ingredient by ingredient?

Yes, once — that is what makes the cost per cup real. Each drink is a few rows on Recipes; after that, changing one bean or milk price updates every drink, every price and every margin automatically.

Are cups and lids included in the costing and stock?

Yes. Cups, lids and napkins are ingredients used one per drink, so they are costed into every cup and tracked in the stock room with their own reorder flags — not forgotten like most pricing sheets.

What is the difference between margin and markup?

Margin is profit as a share of the price; markup is profit as a share of the cost. A 50% markup is only a 33% margin. The Products sheet shows both, named correctly, so you never confuse them again.

Is it only for a fixed menu?

No. Add, rename or remove drinks on Products and Recipes freely — lattes, teas, cold brew, pastries you resell. The same structure fits any café, kiosk or coffee cart.

Is anything locked or macro-based?

No. No macros, no protected sheets, no external links. Blue-on-yellow cells are your inputs; black cells are formulas.
