A large order can increase sales while exposing your business to more unpaid work. Customer Credit & Payment Terms Lab helps you decide what deposit and payment period a particular order can carry.
Add the customer’s invoices, payments and open commitments, then enter the new order’s costs and dates. Compare prepayment, deposits and several payment periods. See the money tied up, the cost of financing the delay and the loss your business would face if the order is not paid.
The result is a clear comparison of commercial terms, with the reason each option passes or fails. Your customer history and your own limits stay visible. This is a decision tool based on your records, not a credit bureau report.
What you get
- Customer exposure: unpaid invoices, unpaid shipments and costs already spent on open orders — an invoiced order is counted only once.
- Partial payments and credit notes kept as separate records; a credit note is never counted as money received.
- Payment history per customer: the actual delays, and median, 75th and 90th percentiles only from 20 closed invoices.
- Deposit search: for every payment period (0, 7, 14, 30, 45, 60, 90 days or your own 1–180) the smallest deposit that keeps your cash reserve, credit limit and acceptable loss, rounded up and checked again.
- Term comparison with full prepayment, your proposed terms and a staged plan, plus the cost of financing the delay and the largest early-payment discount it can carry.
- Commercial summary: a printable memo with every option, its reason, the inputs and the formulas; CSV exports and a full backup.
How it works
- Import history. Import customers, invoices, payments and credit notes from CSV or XLSX, or enter them by hand.
- Add the order. Enter the order value, tax, non-recoverable costs, shipment date and what you could recover if it is not paid.
- Set limits. Give the customer your own credit limit and acceptable loss, and set your cash reserve and planned payments.
- Compare terms. See for every payment period the smallest deposit that passes, and why your proposed terms pass or fail.
- Export the summary. Save the result, print the commercial memo or export CSV, and keep a backup of your records.
Limits
No external credit score; no guarantee of payment; scenario assumptions are not insolvency predictions. Percentiles describe your own past records and need at least 20 closed invoices. The cash check includes only the cash you enter, your planned movements and the order itself. Use your own currency and enter the rates, costs and contract terms that apply to your business.
Questions
Does it use AI?
No. The tool uses explicit calculations and rules. Results depend on the records and assumptions you enter.
Do I need a subscription?
No subscription is required for the one-time purchase of this product. Access through TidyCents PRO follows the current PRO terms.
Where is my data stored?
Working records are stored on your device. Keep a backup, especially before changing browsers, clearing browser data or moving to another device.
Can several people edit the same workspace at once?
This version is designed for one local workspace. It does not provide simultaneous shared editing.
Can I move my records to another device?
Yes. Export a full backup and restore it in the same product on the other device.
Does it connect to my bank or accounting software?
This version works with direct entry and supported file imports. It does not automatically connect to your bank or accounting system.
Can I try it before buying?
Yes. The demo contains fictional records and prepared scenarios so you can inspect the screens and results before buying.
Does it give my customer a credit score?
No. The credit limit and acceptable loss are your own policy. The tool shows the customer’s actual payment history and, from 20 closed invoices, empirical delay percentiles. It never derives a default probability; a non-payment probability is used only if you enter one, as a scenario assumption.
What if a customer has only a few invoices?
Below 20 closed invoices the tool shows the actual history and no percentiles. You enter the delay to test, for example 10 or 30 days late.
How is the minimum deposit found?
For each payment period the tool calculates the smallest deposit that keeps your end-of-day cash at or above your reserve, the customer’s exposure within your limit and the possible loss within your acceptable loss. The amount is rounded up to your chosen step and checked again. If no deposit can work, the reason is shown.
Is the cost of financing the delay calculated for me?
Only if you enter your cost of money as an effective annual rate. Without a rate the financing cost is shown as not calculated — it is never filled in with a default.
