For freelancers and small studios who quote fixed prices — designers, developers, writers, consultants — and who have finished a project only to find that the extra rounds of changes ate the profit. It is one tool for one job: setting a price you can live with and keeping track of what was added after the price was agreed.

Why this and not a rate calculator or a quote template: your minimum hourly rate, the fixed price and every change request live in one project, so each extra request gets a calculated minimum price before you say yes, and only agreed changes are added to the contract value. The same work is compared as hourly, fixed price and retainer, actual hours show what you really earned per hour, and the client proposal never shows your internal costs. One payment, no subscription; no bank, accounting or marketplace connection; your data stays on your device; no AI — every result is an exact decimal calculation with “How it is calculated”, in 8 languages and any currency.

You enter your month once: the income you want, your business costs, a profit reserve, working days and hours, the hours you cannot bill and the fee your payment provider takes. Then the project: stages with their hours and who does them, revision rounds, a time reserve, external costs and the margin you need. Later you can add change requests, actual hours and what was invoiced and received.

You get your minimum hourly rate, a fixed price that covers every cost and the payment fee and leaves your margin, a minimum price for each change request, and what you really earned per hour once the work is done. Every result shows its formula. No AI — exact, traceable calculations. One-time payment, no subscription. It works on a phone and a computer, and your projects stay on your device.

What's inside

Minimum hourly rateCalculated from your desired income, business costs, profit reserve, billable hours and payment fee — the rate below which an hour costs you money.
Fixed price with marginLabour plus external costs, divided so that the payment fee and your target margin are covered; rounded up to the money step.
Project stagesEach stage with its hours, who does it — you or a subcontractor or employee with their own hourly cost — and the deliverable, plus revision rounds and a time reserve.
Payment stagesSplit the price into a deposit and later payments by percentage; the amounts always add up to the exact price.
Priced change requestsEvery extra request gets a calculated minimum price and a status: proposed, agreed, rejected or done. Only agreed and done work is added to the contract value, and a price below the minimum is flagged.
Actual hours and real earningsEnter real hours by stage, actual external costs, invoiced, received and refunded amounts to see what you earned per hour and what is still to be received.
Hourly vs fixed vs retainerThe same work compared as an hourly price, a fixed price and a monthly retainer with included hours and an overage rate.
Client documentsA proposal and an additional-work list for the client, without your internal costs, plus a full internal report — in A4 or US Letter, saved as PDF through your browser.
ScenariosKeep Current, Variant A and Variant B side by side and compare price, profit and hours.
Import and backupImport project stages and change requests from CSV or XLSX with a row check before anything is added; export results as CSV and keep a JSON backup of each project.

Questions

Who is it for?

Freelancers and small teams who quote a fixed price for project work and want to know the lowest price that still covers their time, costs and margin.

How is the price calculated?

Planned hours of each stage and revision round, plus your time reserve, are multiplied by the hourly cost of whoever does the work. External costs are added. That total is divided by (1 − payment fee − target margin) and rounded up. Every result card shows its formula with your numbers.

What does it not calculate?

Income tax, VAT and social contributions; what the market will pay; whether a client accepts a price or pays on time. The proposal is a fixed template, not a legally reviewed contract.

Can I try it first?

Yes. The free demo at /tools/freelance-quote-scope uses fictional data, and every screen and calculation works there. Your own projects, file import and saved work open after purchase.

Where is my data stored?

In your browser, on your device. Nothing is sent to us. You can download a JSON backup of any project and restore it on another device.

Is it a subscription?

No. You pay once and use it for as many projects as you need.

Business license for use in your own business. No resale or redistribution. Opens in your browser right after payment, on phone and computer. Your figures stay on your device. No physical item.
