A payment schedule does not record what was actually claimed and approved. Progress Billing & Retainage Desk follows each billing period against the same Schedule of Values.

Carry previous applications forward, move stored materials into completed work without billing twice and track retention from withholding to release and payment. Review requested and approved amounts separately, then prepare a clear billing package and reconciliation.

Every total opens to its calculation: work to date, stored materials, retention, advance recovery, net to date and the amount of this application. Change orders count only when approved, a rejected application never becomes the base of the next one, and the receivable is followed invoice by invoice, never as “this application minus all past receipts”.

What you get

  • Contract terms: value, billing frequency, payment term, retention on work and on stored materials, optional cap, release conditions, advance and tax profile.
  • Schedule of values with change orders (pending, approved, rejected); the SOV must equal the current contract value and no line is billed above its approved value.
  • Stored material lots: claimed, moved into completed work, returned and still stored — moving the same value twice is refused.
  • Current application per SOV line with live totals: previous work, new work, stored materials, % complete, retention and balance to finish.
  • Certification: requested and approved side by side, every reduction with its reason, date and document; reject with a reason.
  • Retention kept in five separate totals — accrued, released, invoiced, paid, outstanding — with releases billed in the next application or on a retention invoice.
  • Invoices (progress, advance, retention, credit notes), receipts with allocation, overdue days and unallocated money.
  • Documents: payment application with continuation sheet, SOV, period history, retention register and final reconciliation — print to PDF (A4 / US Letter) or CSV.

How it works

  1. Set up the contract. Enter the contract terms and the schedule of values; the program checks that the lines add up to the contract value.
  2. Enter the period. Type new work per line, claim stored lots and move installed materials into work; the totals update as you type.
  3. Record the certification. Enter what the certifier approved, reduced or rejected, with reasons; the approved values become the base of the next period.
  4. Invoice and reconcile. Issue the invoice from the approved amount, record receipts, follow retention to release and payment and print the billing package.

Limits

Produces original payment-application documents. It does not supply licensed AIA Contract Documents or determine statutory payment rights. One currency per contract, no currency conversion; tax only by the profile and rate you enter (no automatic country rules); no bank or accounting connection and no automatic sending. The local action journal is a working record on your device, not a formal audit log. One user per workspace.

Questions

Does it use AI?

No. No AI guesses — every result is calculated with fixed formulas and shows its working. Results depend on the records and terms you enter.

Do I need a subscription?

No subscription is required for the one-time purchase of this product. Access through TidyCents PRO follows the current PRO terms.

What does PRO include?

The full online version of this tool while your PRO is active. You can export your own reports and backups without using your downloadable-library allowance.

Is the offline program included in PRO?

No. The downloadable offline program is part of the one-time purchase and is bought separately.

Where is my data stored?

Working records are stored in your browser on your device (IndexedDB). They are not sent to our servers. Keep a backup, especially before changing browsers, clearing browser data or moving to another device.

Can I move my records to another device?

Yes. Export a full backup and restore it in the same product on the other device.

Can several people edit the same workspace at once?

This version is designed for one local workspace. It does not provide simultaneous shared editing.

What happens when PRO ends?

Your records stay on your device. You can still open your own workspace to view it and export your data and backups; new calculations and editing need an active PRO or the one-time purchase.

Can I see how a number was calculated?

Yes. Every application has “How it was calculated”: input values, the rule, the intermediate results, the rounding and the result, with formula numbers.

Which countries and rules does it fit?

Any country and currency, because the retention rates, advance terms, payment term and tax profile come from your contract. It does not apply local statutory rules automatically, does not supply AIA® Contract Documents and does not determine lien or prompt-payment rights.

How are stored materials kept from being billed twice?

A lot is billed as stored material once. When it is installed, its billed value moves into completed work and leaves stored materials at the same time, so the gross and the retention do not change. Moving more than the certified stored value is refused.

How is the advance handled?

The advance is a separate invoice and a separate receipt. Applications recover it at your rate (never more than received) or by the agreed schedule, and the advance invoice is never counted as a previous application, so it is not deducted twice.

Can I change a certified application?

No. Certified applications are fixed. Corrections go into the next application as an agreed adjustment, invoices are corrected with credit notes, and a retention rate change applies from a later application — with the earlier values kept.
