Selling out is not the same as making a profit. Event Budget & Ticket Profit Lab connects ticket categories, platform fees, attendee costs and fixed commitments.

Compare sales mixes, include confirmed sponsorship and calculate whether break-even fits inside the venue's capacity. Keep projected sales separate from actual orders and refunds.

Test holding, postponing or cancelling the event using the money that would still change under each option, while keeping already incurred costs visible.

What you get

  • Multiple ticket categories and capacity limits: sellable seats = capacity − staff seats − free invitations, with a limit and plan per category.
  • Ticket and order-level fees: percentage of the full price or the price without tax, fixed per ticket, fixed per order, paid by you or added for the buyer.
  • Fixed and attendee-based costs: per paid ticket, per expected attendee (free guests included when you choose), per order or fixed, with payments and cancellation terms.
  • Sponsorship and cash timing: confirmed and expected sponsors kept apart, in-kind support never added to cash, receipts and payments by date.
  • Break-even and cancellation scenarios: exact tickets needed, checked with the full budget at N and N − 1; package mixes and a free mix with share limits; hold, postpone or cancel compared on future cash.
  • Budget, profit and cash reports: plan against actual orders and refunds, printable reports (A4 or US Letter) and CSV files.

How it works

  1. Set up the event and capacity. On Event, enter the date, total capacity, staff seats and free invitations; the tool shows the seats you can sell and the evaluation date.
  2. Add ticket categories, costs and sponsors. On Tickets, Costs and Sponsors, enter each price with its tax and fee rules, every fixed and attendee-based cost with what is paid and what a cancellation would cost, and each sponsor as confirmed or expected.
  3. Check break-even and the capacity limit. On Break-even & scenarios, see the tickets needed for one category, a fixed package or a free mix, each checked with the full budget — or “Not reachable inside … seats” with the seats it would need.
  4. Record sales and decide. Post real orders and refunds, compare plan with actual, test hold, postpone or cancel on the evaluation date, and print or export the budget, cash and decision reports.

Limits

Uses the ticket terms, costs and tax assumptions entered. It does not sell tickets, connect automatically to ticket platforms or determine cancellation rights. The planned order count from “tickets per order” is an assumption; real order fees come from the orders you record. Not legal or tax advice.

Questions

Does it use AI?

No. Every budget line, break-even and decision is calculated with fixed formulas shown under “How it is calculated” and in the guide. No records are sent to an AI service.

Do I need a subscription?

No subscription is required for the one-time purchase. Access through TidyCents PRO follows the current PRO terms.

What does PRO include for this tool?

The full online version for as long as your PRO is active.

Is the offline program included in PRO?

No. The downloadable offline program is part of the one-time purchase and is bought separately.

Where is my data stored?

Your working records are stored in the browser on your device. Nothing is sent to our server. Export complete backups regularly, especially before clearing browser data or changing devices.

Can I move my workspace to another device?

Yes. Export a complete backup and restore it in the same product on the other device.

Can several people work in it at the same time?

This version is designed for one local workspace. It does not provide simultaneous shared editing.

What happens when PRO ends?

Records already on your device are not deleted. They open read-only with backup and CSV export; editing and new calculations come back when you renew PRO or buy the tool.

Which currencies does it support?

Any currency. Amounts are rounded to that currency's smallest unit; you choose whether tax and fees are rounded per ticket or per order, and the same rule is used in the plan and in actual sales.

What does the program not do?

It does not sell tickets, connect to ticket platforms, decide whether you may cancel or must refund under a contract or consumer law, or tell you which tax applies. It works with the prices, fees, costs and rates you enter.

How does capacity limit break-even?

The search only counts seats you can sell: total capacity minus staff seats and free invitations, and each category's own limit. If profit stays below zero at every count that fits, the result says “Not reachable inside … seats” and shows how many seats break-even would need — it never assumes a bigger venue.

Why can break-even differ from the simple formula?

The simple formula divides fixed costs by the contribution per ticket. Order fees, rounding and per-order costs make profit uneven, so the tool also checks every ticket count with the full budget and reports the first count with profit ≥ 0, with the result at N and N − 1.

How are hold, postpone and cancel compared?

On the evaluation date, each option is compared on the money that would still come in or go out: refunds to buyers, fees you do not get back, supplier refunds, cancellation and postponement costs, sponsor returns. Money already spent is the same in every option, so it does not change the difference, but it stays visible in the total result.
