A disrupted trip can create several parallel records: an airline refund, a hotel request, extra meals or transport, an insurer claim, a card dispute, vouchers and later cash payments. Totalling every requested and offered amount can make the recovery look much larger than the money or usable value actually received.
Travel Refund & Disruption Desk maps the whole trip. Link bookings to the disruption, record extra expenses and create separate requests with the deadlines and basis you entered. Keep offers, accepted settlements, vouchers and confirmed payments in distinct states.
The recovery matrix allocates each confirmed payment or practical voucher value to the loss or expense it covers. It prevents the same insurer payment from being counted against two lines and separates compensation from reimbursement. Original, claim and payment currencies remain visible so that an exchange-rate difference is not silently called a short payment.
Worked example from the fictional demo: a flight paid 500 and cancelled; the airline refunds 200, so 300 of that service is still open. A second payment of 200 is only offered, and a voucher with a face value of 300 is worth 180 to the traveller under its restrictions — neither raises the confirmed recovery until it is accepted and recorded. An airline refund of the full 500 EUR received at 1.05 instead of the booking rate of 1.10 leaves nothing to recover in euros and shows a 25 USD FX difference, not an unpaid balance.
Deadlines come only from the windows you enter: calendar days, or business days that skip weekends and the holidays you list, or a fixed date you were given. The deadline list and calendar file remind you; they never decide which rule applies.
The tool organises evidence, deadlines and arithmetic. It does not determine passenger rights, submit claims, contact suppliers, negotiate or provide legal advice. Use its supplier packet indexes and master ledger in your own process. Your records stay in the local workspace unless you deliberately export them.
Open the fictional demo to see three trips — a cancelled multi-supplier trip, a delayed bag with airline and insurance, and vouchers with partial cash and an FX difference — with every screen, the recovery map and the reports marked as samples.
What you get
- Bookings per supplier with reference, traveller, service date, native currency, amount paid and your entered exchange rate.
- Disruptions with the cause as stated, evidence and affected bookings: lost-service basis = paid − value actually received.
- Extra expenses as separate claim lines with receipt flag and necessity note — never merged into a ticket price.
- Requests per party and basis with status, requested amount and deadlines from your entered windows (calendar or business days with your holidays).
- Insurance policies as entered: potential claim capped by the limit you entered, shown as unknown when the limit is missing.
- Offers, vouchers and confirmed payments kept apart; voucher practical value, expiry and face value in history.
- Recovery map by line and paying party that blocks counting one payment twice and shows compensation and FX differences separately.
- Master claim ledger (print and XLSX), supplier packet indexes, deadline calendar (.ics), expense, voucher and allocation reports, CSV and an evidence pack.
How it works
- Record the trip. Enter the travellers and every booking with its supplier, currency, amount paid and the terms you received.
- Map the disruption. Record what happened and the cause as stated, mark the affected bookings with the value you still received, and add extra expenses.
- Track requests and offers. Create one request per party with the basis and deadline you entered; record offers, accepted vouchers and confirmed payments separately.
- Allocate and report. Allocate each confirmed payment to the lines it covers, see what remains in each currency and export the ledger, packet indexes and calendar.
Limits
Arithmetic and organisation from the values you enter. It does not determine passenger rights or eligibility, apply any country's law, interpret an insurance policy, submit claims, contact suppliers or negotiate, and it gives no legal advice.
Questions
Does the tool tell me what I am entitled to?
No. It does not determine passenger rights, legal entitlement or insurance eligibility. The basis, limits and deadlines are what you enter; the tool shows the arithmetic under them.
Does it submit claims or contact airlines, hotels or insurers?
No. It never submits, sends or negotiates anything. Use the supplier packet indexes, the ledger and the calendar file in your own process.
Can one trip have several suppliers and travellers?
Yes. Each booking stays with its own supplier and traveller, and each request is kept per receiving party and loss basis.
Are vouchers and cash kept separate?
Yes. A voucher counts at the practical value you enter, only after you accept it; its face value stays in the history. Offers are never counted as money received, and compensation is shown apart from reimbursement.
Does this use AI?
No. Calculations follow the rules and assumptions shown in the tool. The help panel explains the inputs, formulas and limitations.
What is included in a one-time purchase?
The full online tool, the self-contained offline package, a guide, templates and your own reports and backups, under the licence shown at checkout.
Is it included in PRO?
Active PRO Week, Month and Year subscribers can use the full online tool. The offline program for this new tool is included only with a one-time purchase. Your own reports and data backups are not offline-program downloads.
What happens if PRO ends?
You can still view and back up your existing local records. Creating or editing calculations requires renewed PRO or a one-time purchase. A separate one-time purchase remains valid independently of PRO.
Where are my records stored?
The calculation workspace stores records in your browser on this device. Save regular backups. Clearing browser storage can remove local records. Account and purchase records are handled separately by the website.
Can I use another language or currency?
The interface supports English, Spanish, German, French, Portuguese, Italian, Dutch and Russian. Choose your calculation currency separately from the language. Currency conversion uses the rates or assumptions you enter.
Does the demo accept my data?
No. The demo uses fictional examples and lets you inspect the workflow and sample reports. Your own inputs and imports are available in the full version.
Does this replace a professional adviser?
No. It explains calculations under your inputs. Use appropriate professional advice for legal, tax, employment, investment, credit and safety decisions.
Personal-use license for one household. No resale or redistribution. Opens in your browser right after payment, on phone and computer. Your figures stay on your device. No physical item.
