Collecting a laptop does not prove that every work account is closed. Employee Exit & Access Closure Control connects people, system ownership, access records, equipment and recurring licences with named actions and confirmation. See who must do what, which tasks depend on another action and what remains unknown.

Keep exceptions visible instead of turning a waived task into a completed security check. Separate future licence costs avoided from refunds actually received, and export the exit record with its evidence references. This local workspace organises and records your process. It does not revoke remote access, store passwords or certify that no access remains.

Each exit case starts from the person's own records: the systems they own or back up, their access records, the equipment they hold and the licences linked to them. A template proposes the tasks — document transfer, ownership transfer, access closure, shared secret or rights change, asset return, seat release and the next charge check — with dependencies between them. A dependency cycle blocks the start, and a dependent task is confirmed only after its prerequisites unless you record a reason, which stays visible in the report.

Confirmed completion counts only confirmed mandatory tasks: three confirmed and one waived is 75%, never 100%. A case closes plainly only when every mandatory task is confirmed and no access check is open; otherwise it can close only with accepted exceptions, each with an owner, a reason, a date and a review date. An access whose state is unknown stays an open check until someone records what they saw.

For licences the baseline and the proposed billing schedule are built on the same billing dates. Removing two $30 monthly seats before three future billing dates avoids $180 of future charges; it is not a $180 refund. A prepaid annual licence without a refund is never shown as recovered cash, and a flat account fee does not fall when one person leaves unless a confirmed new plan changes it.

What you get

  • Exit templates that build the checklist from the person's systems, access, assets and licences.
  • Ownership checks: a departing owner without a replacement blocks closing; a departing person can never be the only new owner.
  • Task dependencies with cycle detection and visible, reasoned overrides.
  • Confirmed versus waived versus open — accepted exceptions with owner, reason and review date.
  • Asset returns with condition and follow-up; the outstanding value is a reference, not a debt.
  • Licence-cost scenarios: future charges avoided (confirmed or forecast) kept apart from refunds received.
  • Exit summary, open/waived matrix, ownership register, asset return sheet, cost bridge and evidence index — print, CSV, calendar (.ics) and one exit pack (.zip).

How it works

  1. Record people, systems and assets. Add the people, the systems with their owner, backup owner, billing and recovery contacts (names only), the access records, the equipment and the recurring licences — by hand or from CSV/XLSX.
  2. Start the exit case. Choose the person, the last working moment and the exit type. Generate the checklist from the template, adjust tasks and dependencies, and start it once no dependency cycle is left.
  3. Confirm, waive or follow up. Record who confirmed each action and when, attach evidence references, record returns and access checks, and accept exceptions only with an owner, a reason and a review date.
  4. Close with a record. Close the case plainly or with accepted exceptions, then print the exit summary or export the CSV files, the calendar of open tasks and the exit pack with its checksums.

Limits

Organises and records your own process. It does not revoke remote access, connect to your systems, store passwords or certify that no access remains. Licence figures follow the billing data and contract rules you enter. Not legal, employment or tax advice.

Questions

Does it switch accounts off?

No. The app records who confirmed each action and when. Closing an account, changing a shared secret or removing a seat happens in the system itself.

Does it store passwords?

No. It asks only for names, IDs, account aliases and evidence references. Values that look like passwords, tokens or recovery codes are refused.

Is a checked box a technical test?

No. It records the named person's confirmation. What was actually observed in a system is recorded separately as an access check; an unknown state stays unknown.

Is prepaid spend automatically recoverable?

No. Prepaid money without a contractual refund is never shown as recovered cash. Only a credit you actually received counts as a refund; future charges avoided are shown separately.

Does this use AI?

No. Calculations follow the rules and assumptions shown in the tool. The help panel explains the inputs, formulas and limitations.

What is included in a one-time purchase?

The full online tool, the self-contained offline package, a guide, templates and your own reports and backups, under the licence shown at checkout.

Is it included in PRO?

Active PRO Week, Month and Year subscribers can use the full online tool. The offline program for this new tool is included only with a one-time purchase. Your own reports and data backups are not offline-program downloads.

What happens if PRO ends?

You can still view and back up your existing local records. Creating or editing calculations requires renewed PRO or a one-time purchase. A separate one-time purchase remains valid independently of PRO.

Where are my records stored?

The calculation workspace stores records in your browser on this device. Save regular backups. Clearing browser storage can remove local records. Account and purchase records are handled separately by the website.

Can I use another language or currency?

The interface supports English, Spanish, German, French, Portuguese, Italian, Dutch and Russian. Choose your calculation currency separately from the language. Currency conversion uses the rates or assumptions you enter.

Does the demo accept my data?

No. The demo uses fictional examples and lets you inspect the workflow and sample reports. Your own inputs and imports are available in the full version.

Does this replace a professional adviser?

No. It explains calculations under your inputs. Use appropriate professional advice for legal, tax, employment, investment, credit and safety decisions.
