Time tracking alone does not show whether every eligible hour reached an invoice. Billable Time & Retainer Control follows work through approval, contract rules, billing and payment.
Handle hourly work, recurring retainers, prepaid hour banks and fixed-price projects. Apply the rounding and rollover terms you entered, with a visible history of included hours and overages.
See unbilled work separately from unpaid invoices and export a client statement that explains the balance.
Every contract keeps dated term versions: rates by role or task, the period fee and included hours, the overage rate, hour and money limits, rounding (none, up to a block or to the nearest block, per entry, per day or per period), rollover with a limit and an end date, and the rule for a partial period. Time is stored in whole seconds: entries are added up first and rounded once, and different rates are never mixed.
Approved billable work becomes an accrual only when you post it, and an entry used by an accrual is locked until that accrual is reversed. Each invoice states which accruals it covers, partial payments go to the invoices you choose, an overpayment stays as client credit, and credit notes are kept apart. Every number opens to “How calculated”.
What you get
- Actual and approved billable time.
- Dated rates and contract rounding.
- Retainers, rollover and prepaid hours.
- Invoice allocation and partial payments.
- Unbilled amounts and receivables.
- Client statements and backups.
How it works
- Set up clients and contracts. Add clients, the people who record time and a contract with its terms: rates by role or task, rounding, the retainer fee with included hours and rollover, or prepaid hours, or a fixed price with milestones.
- Record and approve time. Enter or import time entries with their actual minutes, mark them billable or not and approve them; rejected and unapproved time stays apart.
- Check what is not yet accrued. Review rounding groups, included and carried hours, overage and limit breaches, then post the accruals of each period — only the difference to what is already posted.
- Invoice, record payments and report. Allocate accruals to invoices, payments to invoices, keep credit notes and client credit apart, and print a client statement that explains unbilled work and the receivable.
Limits
Uses the contracts and approvals recorded in the tool. It does not provide payroll, automatic bank collection or simultaneous team editing. Amounts are not converted between currencies (one currency per contract), no tax is added, billing periods are monthly, and the tool does not decide revenue recognition. Invoices are recorded and allocated here; the printable invoice detail is not a tax invoice. The local journal is a working record on your device, not a formal audit log.
Questions
Does it use AI?
No. No AI guesses — every result is calculated with fixed formulas and shows its working: rounding groups, included and carried hours, overage, unbilled amounts and receivables.
Do I need a subscription?
No. The one-time purchase gives you the full online version of this tool and its offline version. Access through TidyCents PRO follows the current PRO terms.
What does PRO include?
The full online version of this tool while your PRO is active. Exporting your own reports, CSV files and backups does not use your downloadable-library allowance.
Is the offline program included in PRO?
No. The downloadable offline program is part of the one-time purchase of this tool and is bought separately. PRO members receive the guide and the import templates.
Where is my data stored?
In your browser on your device (IndexedDB). Your clients, time entries and amounts are not sent to our servers. Keep a backup, especially before clearing browser data or changing devices.
How do I move my workspace to another device?
Export a full backup (Settings → Data & backups) and restore it in the same tool on the other device. The restore checks the file, shows what it contains and replaces the workspace only after you confirm.
Can several people work in it at the same time?
No. It is one local workspace on one device; it does not provide simultaneous team editing. You can record time for several people in it.
What happens when PRO ends?
Nothing is deleted. You can still open your own records, view them and export backups and CSV files; recording new time, posting and other changes need an active PRO or the one-time purchase.
Which units and currencies are supported?
Any currency, one per contract, with its own number of decimals; amounts are never converted. Time is entered in minutes and stored in whole seconds; hours are shown with two decimals but money is always calculated from the seconds.
What does the program not do?
It does not run payroll, send invoices or emails, collect money from bank accounts, connect to banks or accounting software, add taxes, decide revenue recognition or give legal, tax or accounting advice. It uses the contracts and approvals you record.
How is a fixed retainer different from a bank of hours?
A retainer charges a fixed fee every period whether the hours are used or not; it includes hours for that period, unused hours can roll over within your limit and keep their end date, and hours above the included ones are overage at the contract rate. A bank of hours is paid in advance as a package: work uses up the package (nearest end date first), using hours never creates another invoice, and an expired package gives no hours, no invoice and no refund.
How does rounding work?
As your contract says: none, up to a block or to the nearest block (half up), per entry, per day or per billing period. Seconds of the same group are added up first and rounded once; different rates are never combined, a zero total stays zero and the actual time of each entry is never changed.
What is the difference between unbilled and receivable?
Unbilled is work already accrued but not on an issued invoice yet. Receivable is invoiced but not paid (invoice − credit notes − allocated payments). Both are shown separately and never added together; an overpayment is client credit, not a negative receivable.
