Receipts, advances and reimbursements often live in different places. This tool brings them into one employee statement and keeps company-card spending separate from money owed to an employee.
Record expenses and supporting documents, check your own policy limits and review possible duplicates. Match card transactions and explain missing receipts before closing the period.
See the balance after approved spending, supplier refunds, advances, reimbursements and money returned to the company. Every balance is calculated with one fixed formula — opening balance, approved own-money and advance spending, advances, reimbursements, money returned, adjustments and personal parts of card purchases — and “How calculated” lists each entry with its running balance.
Documents in another currency keep their own amount, rate and rate date. A vendor refund at a different rate shows its exchange effect instead of hiding it. Policy breaches become exceptions for the reviewer: nothing is trimmed, approved or deleted automatically.
What you get
- Employee expenses and local attachments.
- Cash advances and returned balances.
- Company-card reconciliation.
- Entered policy limits and exceptions.
- Duplicate warnings and review history.
- Employee statements and CSV exports.
How it works
- Add people and policies. Enter employees with their settlement currency, your dated policy versions with limits, and company cards by name.
- Record advances and expenses. Issue advances, enter expense documents with lines, tax and attachments, or import them from CSV or XLSX as drafts.
- Review, match and settle. Decide each expense with its exceptions and duplicate warnings, match card statement lines to documents, and record reimbursements and money returned.
- Report and close. Print employee statements and expense reports, export CSV, close the period with a stored snapshot and keep a complete backup.
Limits
A local expense-control workspace. It does not provide bank feeds, AI receipt recognition, payroll or automatic tax-law decisions.
Questions
Does it use AI?
No. Balances, policy checks, duplicate warnings and card matches are calculated with fixed rules shown in the tool and in the guide. Receipts are not read by any recognition service, and no records are sent to an AI service.
Do I need a subscription?
No subscription is required for the one-time purchase. Access through TidyCents PRO follows the current PRO terms.
What does PRO include for this tool?
The full online version for as long as your PRO is active.
Is the offline program included in PRO?
No. The downloadable offline program is part of the one-time purchase and is bought separately.
Where is my data stored?
Your working records are stored in the browser on your device. Nothing is sent to our server. Export complete backups regularly, especially before clearing browser data or changing devices.
Can I move a project to another device?
Yes. Export a complete backup and restore it in the same product on the other device.
Can several people work in it at the same time?
This version is designed for one local workspace. It does not provide simultaneous shared editing.
What happens when PRO ends?
Records already on your device are not deleted. They open read-only with backup and CSV export; editing and new calculations come back when you renew PRO or buy the tool.
Which currencies and units does it support?
Any currency. Each employee has one settlement currency; a document in another currency keeps its own amount plus the rate and rate date you enter. Totals are shown per currency and never added across currencies. Rates are not downloaded.
What does it not do?
It does not connect to banks or card issuers, read receipts automatically, run payroll or deductions, pay anyone, or decide tax treatment. Recoverable tax is the amount you enter. Approval is a decision inside your own workspace, not a remote approval workflow.
How are advances and company cards kept apart?
An advance is money handed to the employee: it lowers their balance until approved spending, refunds or money returned account for it. A company-card purchase was paid with the company’s money, so it never enters the employee balance — only a personal part of a card purchase, once confirmed, becomes money the employee owes. Card spend is checked separately against the card statement.
Can I see how a balance was calculated?
Yes. “How calculated” shows the opening balance, every approved expense, advance, vendor refund, reimbursement, money returned and adjustment with the running balance, and checks that the parts add up to the closing figure.
What happens with possible duplicates and policy breaches?
They are flagged with the reason — same document number, same attachment, or same vendor and date — and listed for review. Nothing is merged, deleted, trimmed or approved automatically; the reviewer records a decision and a note.
How is a vendor refund handled?
Each refund is linked to its original expense and says where the money went: to the employee (reduces what the company owes), to the company (shown as a pair of entries, nothing owed by the employee) or back to the company card (reduces card spend only).
