For teams of any size: a small workshop may depend on one qualified person, while a medium-sized organisation may need a consistent view across departments and sites. Skills Coverage & Training Planner keeps skill requirements, evidence, expiry and proposed training in one local workspace.
Start with evidence. Record the level needed for each operation and the employees with confirmed, valid assessments. Expired and unconfirmed records stay visible without being counted as current qualifications. The record that counts is always the latest one verified on or before the date you choose, so the history is kept and nothing is overwritten.
Build a practical plan. Enter trainee time, mentor time, external fees, materials and travel. A material set used by several courses is entered once as a shared cost and counted once in the plan total. Allocate the hours to actual weeks and check them against the time you have reserved for each person — as a trainee and as a mentor together. Compare options side by side before including them in the plan; nothing is chosen for you.
Keep the future conditional. Planned training can show a possible future improvement, but it does not change a person's confirmed qualification. The report separates current evidence from the result expected if the training is completed and verified, and a course that ends after your forecast date adds nobody.
Worked example from the fictional demo: forklift operation needs level 3 and two qualified people. Ana is confirmed at level 3 until 31 October, Ben is confirmed at level 2 and Chloe's level 4 has not been confirmed — so on 24 October one person is qualified and the gap is one; on 1 November nobody is and the gap is two. Ben's course costs $250: 4 trainee hours at $20 plus 2 mentor hours at $30, a $100 fee and $10 of materials. A second $250 course shares one $50 handbook set, so the plan costs $550, not $600.
Medium-sized businesses can filter by department and site. The medium demo has 180 people in 5 departments and 3 sites, 36 skills, 12 expiry warnings and 30 training options, including one mentor who would need 12 hours in a week against 10 reserved. The matrix stays readable with up to 500 people and 100,000 assessments because only the visible part is drawn.
No AI guesses: every count and amount comes from your records and formulas that are shown on screen. A count of qualified people is not a shift schedule — covering actual absences belongs in Leave Balance & Coverage Planner, and the cost of a new hire belongs in Hiring Cost, Ramp-Up & Capacity Lab.
What you get
- Skill matrix: people × skills for the chosen department, site and date, with level, validity and planned training written in every cell — not only colours.
- Evidence rules: confirmed, unexpired and at the required level counts; expired, unconfirmed and missing-expiry records stay visible but do not count.
- Gaps per skill against your minimum number of qualified people, plus a conditional forecast for a future date that removes expiring people and adds only trainings that end in time.
- Training options with trainee and mentor hours at each person's hour cost, external fees, materials and travel — unknown hour costs shown as missing, never zero.
- Shared costs counted once, explicit exchange rates for other currencies, and alternatives compared line by line before you include one.
- Weekly time check: explicit weekly allocations against reserved training and mentoring time; the same person as trainee and mentor counts both.
- “Check plan” lists blocking errors, missing amounts, weekly conflicts and warnings in one place.
- CSV/XLSX imports (up to 100,000 assessments in one file, with a preview of every error and duplicate), CSV exports of the matrix, assessments, weekly time, costs and plan, a printable plan report and full backups in 8 languages.
How it works
- People and skills. Import or add employees with weekly hours and hour cost, and skills with the required level, the minimum number of qualified people and whether an expiry date is needed.
- Evidence. Record or import assessments: level, evidence, verification date and expiry. The matrix shows who counts on any date.
- Training options. Price alternatives for each gap — trainee and mentor time, fees, materials, travel and shared costs — and include the ones you choose.
- Check and print. Allocate hours to weeks, reserve time, press “Check plan”, then print the plan with current evidence and the conditional forecast kept apart.
Limits
The tool does not issue qualifications, prove legal competence, schedule production shifts or guarantee that a person will pass training. Staffing coverage during absence belongs in Leave Balance & Coverage Planner. It is not a learning management system: no tests, no course delivery, no automatic messages. Exchange rates are entered by you, never fetched. Up to 500 employees, 25 departments and sites, 1,000 skills and 100,000 assessments per workspace.
Questions
Does a planned course close a current gap?
No. It remains conditional until evidence is recorded. The forecast shows what could change if the training is completed and verified; the current count never changes because of a plan.
Is mentor time included?
Yes, at the rate and hours you supply. The mentor's hours also count against the mentor's own reserved time in that week, together with any training they receive.
Can a shared material cost be counted once?
Yes, using its shared-cost record. Options refer to it instead of repeating the amount, and the plan adds it once. Two separate purchases with the same description are not merged.
Is this an LMS?
No. It does not deliver courses, run tests or send messages. It records evidence you have checked and prices the training you plan.
What happens when a certificate expires?
The record stays visible and is shown as expired; from the day after the expiry date the person no longer counts as qualified. You can set how many days ahead a coming expiry is flagged.
Does the number of qualified people mean every shift is covered?
No. It does not know who is absent or working at the same time. For covering actual absences, use Leave Balance & Coverage Planner.
What if I do not know someone's hour cost?
Leave it empty. Options that use that person's hours show “Missing information” instead of a cost, and the plan total is not calculated until the value is entered — it is never treated as zero.
Does this use AI?
No. Calculations follow the rules and formulas shown in the tool. The help text explains the inputs, formulas and limits.
What is included in a one-time purchase?
The full online tool, the self-contained offline package, a guide, templates and your own reports and backups, under the licence shown at checkout.
Is it included in PRO?
Active PRO Week, Month and Year subscribers can use the full online tool. The offline program for this tool is included only with a one-time purchase. Your own reports and data backups are not offline-program downloads.
What happens if PRO ends?
You can still view and back up your existing local records. Creating or editing records requires renewed PRO or a one-time purchase. A separate one-time purchase remains valid independently of PRO.
Where are my records stored?
The workspace stores records in your browser on this device. Save regular backups. Clearing browser storage can remove local records. Account and purchase records are handled separately by the website.
Does the demo accept my data?
No. The two demos use fictional businesses and let you inspect the workflow and sample reports. Your own inputs and imports are available in the full version.
Business license for use in your own business. No resale or redistribution. Opens in your browser right after payment, on phone and computer. Your figures stay on your device. No physical item.
