The advertised wage is only one part of a hiring decision. Recruiting, equipment, benefits, entered payroll burden, training and the time taken from an experienced mentor all arrive before the new person reaches steady output. Hiring Cost, Ramp-Up & Capacity Lab puts those costs on the same timeline as the capacity the business expects to gain. It is built for small and medium-sized businesses that weigh a new role, a contractor or overtime against the cash they have.
Compare a full-time employee, part-time hire, contractor, overtime and the no-hire baseline. Build a weekly productivity ramp instead of assuming full output on day one. Subtract mentor time and other displacement. Cap the benefit at real incremental demand, so unused capacity is not presented as sales.
The cash view shows one-time setup, recurring cost, incremental contribution, cumulative result and the lowest cash point. A capacity solution can therefore fail the funding gate even when it becomes profitable later. The report also shows the extra steady units needed to cover the recurring cost and the first break-even week when one exists.
Worked example from the fictional demo: 40 paid hours at $20 cost $800 a week; an entered 10% payroll burden adds $80 and benefits add $120, so the recurring cost is $1,000 a week. Recruiting and equipment of $5,000 are paid once in week 1. At one order per productive hour, a ramp of 25%, 50%, 75% and 100% gives 10, 20, 30 and 40 orders, and five mentor hours in week 1 reduce the net gain to 5 orders. At $50 contribution per order the role needs 20 extra orders a week to cover its recurring cost — and because customers want only 30 extra orders a week, the rest of the capacity is shown as idle, not as sales. The lowest balance is $5,750 against a $5,000 floor and cumulative cash turns positive in week 12.
Gates come before any result. An option counts only if it delivers the required capacity by the week you set, keeps every week-end balance above your cash floor and stays within the mentor time your team can spare. Among the options that pass, the tool shows the one with the highest objective you choose — cumulative cash, NPV at your own rate, the highest lowest balance or net capacity. If no option passes every gate, it says so and shows the trade-offs instead of picking the least bad card.
The program uses payroll burden, benefit rules and worker classification entered by the user. It is not payroll, an applicant tracker or employment advice. Its job is to make assumptions comparable and visible. No AI guesses: every result shows its working, with the formula, inputs, rounding and assumptions one click away.
Try the three fictional demos — employee vs contractor vs overtime, a fast hire with deep mentor loss, and a strong capacity case that still breaks the early cash floor — then buy once for the full online tool and the offline file, or open it with an active PRO subscription.
What you get
- One timeline for every option: full-time, part-time, contractor, overtime and the no-hire baseline on the same fields and the same weeks.
- Full cost model: wage with overtime premium, entered payroll burden, benefits, software, workspace, contractor minimum hours and platform fee; recruiting, equipment and onboarding counted once.
- Weekly ramp-up: productivity, availability, training hours and mentor time — training never counted as productive time.
- Demand-capped capacity: sales limited to extra demand plus backlog; idle capacity shown, never sold.
- Cash timeline: contribution, recurring and one-time cost, cumulative cash, lowest balance against your cash floor and the break-even week.
- Required extra units per steady week to cover the recurring cost — shown as N/A when contribution is zero or negative.
- Rule-based comparison: capacity, cash-floor and mentor-time gates first, then your objective; ties and "no option passes" stated plainly.
- Decision report, hiring readiness checklist, saved decisions, XLSX workbook with weekly cash and capacity, CSV exports, CSV/XLSX imports and full backups in 8 languages.
How it works
- Describe the bottleneck. Current capacity, weekly demand and contribution per unit, backlog, the extra capacity you need and the week you need it.
- Add the options. Employee, part-time, contractor, overtime and no hire — each with its own hours, rate, entered burden, benefits and one-time costs.
- Build the ramp. Weekly productivity, availability and mentor hours until full output; training hours are taken from available time once.
- Compare and decide. Gates first, then the highest objective among passing options — or the trade-offs. Print the decision report or export it.
Limits
Uses the wage, payroll burden, benefit and productivity figures you enter. It does not calculate payroll tax or social contributions, is not a payroll system or applicant tracker, and gives no advice on whether someone is an employee or a contractor. One currency per workspace; no currency conversion. Decision support for your own business, not tax, legal or employment advice.
Questions
Does the tool calculate payroll tax or employer contributions?
No. You enter the payroll burden rate and benefits that apply to you; the tool applies them to the wage and shows the result. Tax and payroll rates are always your own inputs.
Does it tell me whether someone is an employee or a contractor?
No. It gives no worker-classification or employment advice. Choose the option type that matches the arrangement you are considering and confirm the rules with your adviser.
Why is my new hire's capacity not counted as sales?
Contribution is capped at the extra demand you enter plus any backlog. If customers want only 30 extra units a week, 40 units of capacity still sell only 30; the rest is shown as idle.
How is mentor time handled?
Each ramp segment can carry mentor hours. They reduce the current team's output by the units you enter per mentor hour, so a fast start with heavy mentoring can lower net capacity in the first weeks.
What happens if no option passes all gates?
The tool says that no option passes and shows the trade-offs. It does not select the least bad option as a recommendation.
Does this use AI?
No. Calculations follow the rules and assumptions shown in the tool. The help panel explains the inputs, formulas and limitations.
What is included in a one-time purchase?
The full online tool, the self-contained offline package, a guide, templates and your own reports and backups, under the licence shown at checkout.
Is it included in PRO?
Active PRO Week, Month and Year subscribers can use the full online tool. The offline program for this new tool is included only with a one-time purchase. Your own reports and data backups are not offline-program downloads.
What happens if PRO ends?
You can still view and back up your existing local records. Creating or editing calculations requires renewed PRO or a one-time purchase. A separate one-time purchase remains valid independently of PRO.
Where are my records stored?
The calculation workspace stores records in your browser on this device. Save regular backups. Clearing browser storage can remove local records. Account and purchase records are handled separately by the website.
Can I use another language or currency?
The interface supports English, Spanish, German, French, Portuguese, Italian, Dutch and Russian. Choose your calculation currency separately from the language. This tool uses one currency per workspace and does not convert currencies.
Does the demo accept my data?
No. The demo uses fictional examples and lets you inspect the workflow and sample reports. Your own inputs and imports are available in the full version.
Does this replace a professional adviser?
