An organisation chart answers who reports to whom. It does not necessarily answer who owns the result of a particular task. Organisation & Responsibility Map connects reporting lines with a register of recurring responsibilities and decisions, and checks both against the weekly hours people really have. It is built for businesses with 5 to 500 people.
For owners and operations teams: use it for a business where one person wears several hats or a medium-sized organisation with departments, sites and shared roles. Keep people, positions and responsibilities separate so that one employee holding two roles is still counted once.
Build your structure: add departments, reporting roles and employees. Assign weekly hours to roles, then connect each recurring responsibility or decision to an owner. Add an approver only where your actual process needs one.
Check before sharing: the tool detects circular reporting lines, missing references, unowned responsibilities and overlapping capacity demands. It shows direct reports and total descendants without assigning a made-up management-quality score.
Read the difference between two gaps: a role can lack the hours you require even when its currently documented work is light. Conversely, assigned work can exceed the people-hours available. See role coverage and workload separately instead of confusing them in one percentage. Worked example from the fictional demo: Dispatch requires 40 hours, has 24 assigned hours and carries 30 hours of responsibilities — a coverage gap of 16 hours and a workload excess of 6 hours (125% utilisation), not a 22-hour staffing need. The operations manager who also covers Dispatch holds 24 + 24 = 48 hours against 40 available: 8 hours over, and still counted as one person.
For a larger team: import structured employee and role records, filter by department and export the relevant structure and responsibility register. A filter never hides a responsibility without an owner, and managers outside the filter appear only by role title, without personal data. Your workspace is local; simultaneous cloud editing is not included.
No AI guesses: every number is calculated from the records you enter, and every check shows its formula and inputs. Try the two fictional demos — a small wholesaler where one person holds two roles, and a distributor with 120 people, 6 departments and 3 sites — then buy once for the full online tool and the offline file, or open it with an active PRO subscription.
What you get
- Interactive organisation chart: roles on a cream canvas with title, department, people and available/required hours; zoom, search and branch-by-branch expansion; a nested list on phones.
- Several separate roots allowed — no head is invented; direct reports and distinct total reports for every role.
- Structure check: reporting cycles, self-managers, unknown managers and every missing reference block ready documents until fixed.
- Hours on a selected date: assignments are inclusive and open-ended, so sequential assignments are never counted twice; headcount counts distinct people.
- Two separate role views: coverage gap (required − available) and workload excess (work − available), with utilisation not capped at 100%.
- Responsibility and decision register: one owner, an optional approver, contributors that add no hours, and hour splits that must add up exactly.
- Unowned work stays visible as unassigned hours — in every filter and every export.
- Multi-page organisation chart with a branch index, responsibility register (print and CSV), people, roles, assignments and findings CSV, four CSV/XLSX imports and full backups in 8 languages.
How it works
- Departments and sites. Add the departments (and, if you work from several places, the sites) your roles belong to.
- Roles and reporting lines. Each role has a department, the role it reports to and the weekly hours it requires.
- People and assignments. Enter each person once with their available hours, then assign them to one or more roles with hours and dates.
- Responsibilities, check and documents. Give every responsibility and decision an owner, run the structure check and print the chart and the register.
Limits
This is not payroll, shift scheduling, an employee performance rating or an IT-access system, and it calculates no salary cost. Hours are the inputs you supply and do not establish employment-law compliance. Direct-report counts describe the structure; they are not a measure of performance. One local workspace per device; simultaneous cloud editing is not included. Up to 500 people, 25 departments, 25 sites, 1,000 roles and 10,000 assignments.
Questions
Can one person hold several roles?
Yes. Assigned hours are checked against that person's capacity, and the person is counted once in the headcount.
Does it force one company head?
No. Separate roots are permitted, and no head is added automatically.
Can I leave a responsibility without an owner?
It remains visible as an issue, and its hours are shown as unassigned. A decision always needs an owner.
Does it calculate salaries?
No. This release maps structure, ownership and hours only.
What is the difference between a coverage gap and a workload excess?
A coverage gap is required hours minus the hours assigned to the role. A workload excess is documented work minus the hours assigned. They are two views of the same role and are never added together.
What happens when I filter by department?
Roles of that department and its sub-departments are shown. A manager outside the filter appears as an outside box with role title and department only, and every responsibility without an owner stays in the register.
Does this use AI?
No. Calculations follow the rules shown in the tool. The help panel explains the inputs, formulas and limitations.
What is included in a one-time purchase?
The full online tool, the self-contained offline package, a guide, templates and your own reports and backups, under the licence shown at checkout.
Is it included in PRO?
